Privacy Policy

1. Scope
This policy explains how UptimeRoad handles information when fleet companies, Owner-Operators, and Drivers use the website, secure workspace, and installable Driver app.
2. Information we process
We may process pilot application details such as name, work email, company, phone, role, fleet size, and submitted notes. For active workspaces, we may also process account identity, company membership and role, vehicle and VIN information, mileage, maintenance records, driver-submitted breakdown descriptions, safety answers, location provided for a roadside case, photos or videos, vendor details, quotes, approvals, repair status, invoices, costs, downtime, and notification delivery information.
3. How information is used
Information is used to authenticate members, restrict access by company and role, coordinate roadside cases, locate relevant service providers, document owner approvals, maintain vehicle history, deliver operational notifications, prevent abuse, and improve reliability.
4. Location and media
Driver location is requested only as part of a breakdown workflow or an action that clearly requires location. Incident photos and videos are stored as protected fleet evidence. Device permissions remain controlled by the driver and browser or operating system.
5. Service providers
UptimeRoad may use hosting, authentication, mapping, storage, and notification providers to operate the service. Providers receive only the information needed for their function. UptimeRoad does not sell personal information.
6. Retention and security
Operational records may be retained while the fleet account is active and for a reasonable period required for security, dispute resolution, or legal obligations. UptimeRoad uses tenant separation, role restrictions, protected sessions, and access-controlled media delivery, but no online service can guarantee absolute security.
7. Choices and requests
Authorized fleet members can correct operational records through the workspace. Pilot applicants may reply through the same contact channel used by the UptimeRoad team. Requests concerning access, correction, export, or deletion can also be submitted through UptimeRoad Support inside the product. Some records may be retained where required for security or legal compliance.
8. Changes
Material changes will be reflected by updating the effective date. Paid launch and any future AI vendor-call feature may require additional disclosures before activation.
